5300 characters. That’s all you have. After years spent taking demanding prerequisites, stuffing your CV full of volunteer, research, and clinical experiences, and studying for months for the MCAT, you have 5300 characters -about 700 words- to tell the admissions committee why they should take you. No pressure.

In our 18 years of helping clients build compelling personal statements for medical school, we have seen people make just about every mistake you can imagine. Sometimes people make amazing new ones, but mostly they tend to make the same ones that most of their fellow applicants make. Avoiding these mistakes can help you create a stronger, more effective personal statement. Here are some typical errors and advice on how to avoid them:

1. Being Too Generic

One of the most common mistakes is writing a generic personal statement that could apply to any applicant. Admissions committees read thousands of essays, so it’s essential to make yours stand out. Avoid clichés and broad statements like “I want to help people” or “I have always been passionate about medicine.”

Don’t open with a bedside story about the night your grandma died and please avoid, at all costs, the phrase “tears in her eyes…” Yes, you do need to provide specific examples and personal anecdotes that highlight your unique journey and motivations, but do it in a way that features how you really felt and acted, and not how you think the AdCom wants to see you or how you imagine the scene might play out in a Hallmark Channel Christmas movie.

  1. Focusing Too Much on Others

    While it’s important to acknowledge the influence of mentors, family members, or patients, your personal statement should primarily focus on you. Thus the “personal” in “personal statement.” Avoid spending too much time discussing other people’s achievements or stories. Admissions committees want to learn about your experiences, qualities, and aspirations. Make sure your essay centers on your journey and how it has prepared you for a career in medicine.

It’s fine if you weren’t the MVP of the team or the leader of the group. Focus on what you DID do, the role you played, and what it taught you.

  1. Listing Experiences Without Reflection

    A great personal statement is far more than just a narrative CV. Simply listing your experiences and accomplishments is not enough. Admissions committees are looking for reflection and insight. Explain the significance of each experience and how it has shaped your decision to pursue medicine. Discuss the skills and lessons you have gained and how they have prepared you for medical school and a medical career.

A good rule of thumb is to “tell fewer stories better.” Instead of stuffing six stories into your essay, instead focus on two or three. Remember, you have your Work & Activities section and secondary essays to cover additional ground.

  1. Overemphasizing Academic Achievements

    While academic achievements are important, your personal statement should provide a holistic view of who you are. Avoid focusing solely on your academic successes. Highlight your extracurricular activities, volunteer work, research, clinical experiences, and personal interests. This approach demonstrates that you are a well-rounded individual with diverse experiences and skills.

Typically, you don’t even mention your grades or academic awards in a personal statement. The committee will already have that data, so no need to rehash it.

5. Neglecting to Address Motivations

Your essay needs, at some point, to answer the “why medicine?” question. Admissions committees want to understand why you are passionate about medicine and what drives you to pursue this challenging career. Failing to clearly articulate your motivations is a common mistake. Reflect on the experiences and values that have led you to this path and explain them compellingly. This clarity helps the committee see your genuine commitment to the field.

Importantly, if you have extensive experience within a field such as nursing or public health and you are looking to transition into a medical career, you need to make sure that your “why medicine?” also covers the “why not just keep working within public health?”

  1. Writing a Chronological Essay

    Your personal statement doesn’t HAVE TO be chronological. Avoid simply recounting your life story in order. Instead, focus on a few key experiences that have been pivotal in your decision to pursue medicine. Use these experiences to illustrate your qualities, motivations, and readiness for medical school. A thematic approach can make your essay more engaging and impactful. And, if done well, opening a bit further forward, then in your second paragraph doing a “soft reset” and telling your full story can be really effective.

    7. Using Complex Language and Jargon

    While it’s important to write professionally, using overly complex language or medical jargon can make your essay difficult to read. It also feels stiff and inhuman at a moment when you are trying to establish a sense of connection with your reader. Aim for clarity and simplicity. Write in a way that is accessible to a broad audience, including those who may not have a medical background. Clear and concise writing is more effective and demonstrates strong communication skills.

    8. Failing to Show Personal Growth

    Medical schools are looking for applicants who demonstrate personal growth and the ability to learn from experiences. Failing to show this growth is a missed opportunity. Reflect on the challenges you have faced and how you have overcome them. Discuss what you have learned from your experiences and how they have prepared you for a career in medicine. This reflection shows maturity and resilience.

    9. Not Proofreading Carefully

    Typos, grammatical errors, and awkward phrasing can detract from the quality of your personal statement. Not proofreading carefully is a common mistake that can be easily avoided. After writing your essay, take the time to proofread it multiple times.

Of all the graduate and professional schools, medical school has the most onerous admissions process. Between MCATs, science prerequisites, personal statements, and secondaries, it can certainly feel overwhelming.

In the 15 years we’ve been helping applicants earn admission to their dream schools, we have become quite familiar with how difficult it can be to juggle all of the different pieces of written application materials. Crafting these components effectively requires a clear understanding of their distinct purposes and how they interrelate. This article will guide you through strategizing each part of the AMCAS application to present a compelling and cohesive narrative to admissions committees.

Planning Your Application

The best approach to tackling the AMCAS application is to begin with comprehensive planning. Start by reviewing the secondary essay prompts for all the schools you are applying to. While many of these prompts for the current application cycle may not yet be released, you can look at last year’s prompts, as they often remain largely unchanged. By gathering all the prompts, you can map out a plan to cover all your main points without redundancy.

The Personal Statement

The AMCAS personal statement serves two primary purposes: explaining the source of your interest in medicine and making the strongest case for your admission. Think of the personal statement as your opportunity to make a powerful impression on the committee in just 90 seconds. This requires focusing on depth, storytelling, and personal authenticity.

1. Depth and Storytelling: Your personal statement should delve deeply into your motivations for pursuing medicine. Use storytelling to illustrate your journey, highlighting pivotal moments that shaped your decision. Avoid generic statements; instead, provide specific examples that demonstrate your passion and commitment.

2. Personal Authenticity: Authenticity is crucial. Admissions committees want to see the real you, not an idealized version. Reflect on your unique experiences and perspectives, and convey them honestly. Authenticity resonates more than trying to fit a perceived mold of what a medical school applicant should be.

The Work & Activities Section

If the personal statement is about depth, the Work & Activities section is about breadth. This section allows you to demonstrate that you are a well-rounded candidate by showcasing a range of experiences. The main categories to cover are academic readiness, scientific bona fides, service, leadership, and character.

1. Verbs and Actions: Focus on what you did in each activity. Use strong, action-oriented verbs to describe your roles and contributions. This not only highlights your accomplishments but also demonstrates growth, initiative, and leadership.

2. “Most Significant” Entries: In the Work & Activities section, you have the opportunity to designate three experiences as “most significant.” Use these longer entries to provide depth to your application, complementing the breadth demonstrated in the other entries. If your personal statement focuses heavily on one or two areas, use these significant entries to balance your application by highlighting other aspects.

3. Avoid Redundancy: While it is fine to reference an experience mentioned in your personal statement, avoid repeating the same information. Instead, provide additional insights or details that were not covered in the personal statement.

The Secondary Essays

Secondary essays are school-specific and allow you to demonstrate why you are a good fit for each particular institution. These essays should be tailored carefully to address each prompt and align with the values and mission of the school.

1. School-Specific Fit: Research each school’s mission, values, and programs to understand what they are looking for in applicants. Use this information to craft essays that not only respond to the prompts but also highlight how your experiences and goals align with the school’s ethos.

2. Repurposing Text: While it is efficient to repurpose sections of text for multiple secondaries, do so with caution. Ensure that each essay remains responsive to the specific prompt and tailored to the school’s unique characteristics.

Crafting the Work & Activities (W&A) section of your AMCAS (American Medical College Application Service) application is a crucial task that requires careful thought and precision. Unfortunately, while many people spend weeks or ever months fine-tuning their personal statement, they treat this vital section almost as an afterthought. The W&A section allows you to showcase your experiences, learning, and growth in a succinct yet comprehensive manner and provides the reader with a clear overview of your overall strengths as a candidate. Here are some essential tips to help you make the most of this opportunity.

Focus on Your Actions, Learning, and Growth

When describing your experiences, it’s important to clearly articulate what you did, what you learned, and how you grew from each activity. Admissions committees are looking for evidence of your dedication, skills, and personal development. Applicants will sometimes get this wrong by spending too much time describing what the organization does or talking too much about things that don’t relate directly to their roles or tasks.

What You Did: Describe your specific responsibilities and actions. For instance, if you volunteered at a clinic, detail the tasks you handled, such as assisting with patient intake or organizing health education workshops.

What You Learned: Reflect on the skills and knowledge you gained. Did you develop better communication skills, learn about healthcare disparities, or gain insight into patient care?

Avoid Jargon

Moreover, individual organizations often use idiosyncratic title names or other descriptors that don’t mean anything to people outside the organization. Use clear and straightforward language to ensure your descriptions are easily understood by all readers. Instead of using technical terms, explain your activities in a way that highlights your contributions and impact and think about how you might describe what you did to a loved one who isn’t in the medical world.

Choose Strong Verbs
The verbs you use can significantly influence how your actions are perceived. Strong, active verbs convey confidence and decisiveness. For example, instead of saying you “helped with patient care,” say you “provided patient care” or “coordinated patient services.” This subtle change makes your role sound more impactful and direct.

Be Succinct but Complete
You have only 700 characters for each entry, so brevity is essential. However, being succinct doesn’t mean using incomplete sentences or resorting to “CV speak.” Write in complete sentences to ensure clarity and coherence. Focus on the most critical aspects of each experience and eliminate any unnecessary details.

Plan Your “Most Significant” Experiences Thoughtfully
Deciding which experiences to designate as “most significant” should be done in conjunction with planning your personal statement. Because you get an extra 1325 characters, you can obviously cover a lot more ground, which is a huge benefit. Taking a strategic approach ensures you provide comprehensive coverage of your strengths and avoid redundancy. Your personal statement will delve deeply into your motivations and key experiences, while the Work & Activities section can highlight a broader range of accomplishments.

Review Last Year’s Secondary Essays

Looking at the secondary essay prompts from the schools you’re applying to can provide valuable insights. Most schools reuse essay topics for multiple years before changing, so understanding what they’ve asked in the past can help you align your “most significant” selections with potential secondary essay themes. This foresight can save you time and ensure your application remains focused and relevant.

Emphasize Breadth in Your Work & Activities
While your personal statement focuses on the depth of your decision to pursue medicine, the Work & Activities section should emphasize breadth. This is your chance to demonstrate the variety of your experiences and how they collectively prepare you for a career in medicine. Highlight diverse activities such as clinical work, research, volunteering, leadership roles, and extracurricular pursuits to present a well-rounded picture of your qualifications.

Apply the Same Care as Your Personal Statement
The Work & Activities section is just as important as your personal statement, so it deserves the same level of care and attention. Meticulously proofread your entries, ensuring they are free of errors and clearly communicate your achievements. A well-crafted Work & Activities section can significantly enhance your application and leave a lasting impression on admissions committees.

Example Entry
Here is an example of how to succinctly and effectively describe an experience:

Volunteer at Community Health Clinic (June 2020 – Present): Coordinated patient intake, assisted with health screenings, and organized educational workshops on nutrition and wellness. Developed strong communication skills and a deep understanding of healthcare disparities. Promoted to team leader, overseeing a group of 10 volunteers and managing clinic operations during weekend shifts.

This entry clearly outlines the responsibilities, learning outcomes, and growth experienced, all within the character limit. Note that the above provides a 388-character breakdown of the job. From there, you could add another 312 characters where you could briefly mention something like the most important task you accomplished, how this informs your thoughts on medical school, where this fits within your journey to medicine, or where you hope to go from here.

         In my eighteen years of helping people earn admission into their dream schools, two kinds of applicants are quite common. The first type sees their application as merely a means to an end. They want to know what the admissions committee wants, and they’ll then try to shoehorn their life into that mold. The second type treasures pure authenticity, and insists on featuring the most important moments of their lives in their personal statements, even if they’re not quite relevant.

         Neither of these approaches are quite right; the first is too cynical and the second focuses so much on “authenticity” that it forgets its purpose. The correct path is one that splits the difference, and this is what makes crafting a perfect personal statement so perplexing and difficult. On one hand, there’s a compelling need to present oneself in a way that resonates with the Admissions Committees (AdComs). On the other, there’s the inherent desire to remain authentic to one’s true self. With that in mind, how can you blend sincerity with strategic insight to unlock the gates to top-tier business schools?

 

Every Kind of Writing Has a Purpose

Let’s start with a fundamental truth: every kind of writing serves a specific purpose. The personal statement is one of the strangest kinds of writing in that it’s a blend of memoir, CV, and interview. For MBA application essays, the purpose is unequivocally to earn admission—not to bare your soul as you might on a dating app. Understanding this is pivotal. Your personal statement must be meticulously tailored to reflect the qualities, accomplishments, and experiences that AdComs value in prospective students… but not do so in a way that feels obviously manufactured. It’s about highlighting aspects of your life that align with the school’s ethos and expectations.

However, this does not mean fabricating stories or presenting an exaggerated version of yourself. The art lies in selecting genuine experiences from your life that best demonstrate these values. This approach ensures that your essay remains grounded in reality while strategically showcasing your compatibility with the school’s culture and objectives.

Okay… so HOW?

 

The Utility of Authenticity

Let’s begin by talking about authenticity within the context of a personal statement. Why is it crucial, especially when you’re consciously tailoring your essay? In short, authentic essays are better essays. Authenticity brings a certain richness to your writing. It makes your stories believable and relatable. An authentic essay does not feel forced; it flows naturally and engages the reader by weaving narratives that are both compelling and true to who you are.

This might sound like a contradiction—being authentic while also being strategic. However, think of authenticity in this context as being purpose-driven. You’re not just recounting your experiences; you’re strategically selecting stories that authentically illustrate your values and attributes that align with the school’s profile.

 

Two Keys to Balancing Authenticity and Strategy

 

  1. Align Your Stories with Core Values

Begin by identifying 3-5 core values or attributes that your target school holds in high esteem. These can be gleaned from the school’s website, promotional materials, and by engaging with alumni and current students. Note the words and ideas that they repeat often or that they lead with. Once you have this list of values, brainstorm real-life stories from your own experiences that reflect these qualities.

For instance, if leadership is a recurrent theme in the school’s ethos, reflect on instances where you demonstrated leadership. Perhaps you led a project at work that turned around an underperforming department, or maybe you spearheaded a volunteer initiative that made a significant impact. These stories are effective not just because they show you possess desirable traits, but because they are rooted in your real experiences, lending credibility and authenticity to your narrative.

 

  1. Don’t Overestimate the AdComs

A common mistake applicants make is overestimating the AdComs. It’s easy to imagine them as omniscient judges capable of seeing through any embellishment or strategic positioning in your essay. While it’s true that AdComs are adept at evaluating applications, they are not infallible. They are looking for well-crafted essays that are honest, forward-looking (that connect your intended past in a realistic way with what you’ve done and hope to learn in their school), and reflective of the candidate’s true potential and fit with the school.

As long as your essay is grounded in real stories that illustrate your claims, you shouldn’t worry too much about AdComs seeing through your strategy. The key is to be honest and thoughtful in your writing, ensuring that it is both reflective of your genuine self and strategically aligned with the school’s values.

 

Embrace Your Multifaceted Self

Remember: truthfulness is non-negotiable. When I tell you to be strategic, I AM NOT encouraging you to be in any way dishonest. An excellent essay is an ethical essay, and even if you don’t believe in ethics (which… wow, shame on you!) understand that there are many negative consequences to dishonesty, not least that your essay will often feel phony.

However, recognizing that every person embodies multiple facets of themselves is crucial. In your MBA application essay, you are simply choosing to highlight those aspects of your personality and experience that resonate most powerfully with the AdComs. This doesn’t mean you are being insincere; rather, you are showcasing the parts of your identity that best align with the academic and cultural milieu of the school you aspire to join.

Crafting an MBA application essay is a balancing act of authenticity, cynicism, and strategy. By aunderstanding the purpose of your writing, staying true to your stories, and strategically aligning them with the values of your target program, you can create a compelling narrative that is both sincere and persuasive. Remember, the goal is not just to tell a story, but to tell your story in a way that aligns with the expectations and values of the AdComs, opening the door to the next big step in your career and personal development.

Three Insider Secrets of Successful Ph.D. Applications

Applying to doctoral programs can be stressful and mysterious, and one of the real challenges is that most of the advice that you’ll find online about the application process comes from people whose experience is in the world of business school, law school, or undergraduate admissions. This advice isn’t well suited to graduate school applications because the process is simply different, as are the goals of the admission committee and the people who staff that admissions committee. We detailed much of this in a recent blog post.

Today, I want to follow up on some of the items we talked about by giving you three practical tips that will help you with your PhD application.

1. It’s okay if you don’t know exactly what you want to study. In my last blog, I pointed out that, the closer you can get to articulating what the thesis of your eventual dissertation will be, the better. This advice often elicits two concerns from clients. First, will being overly specific hurt my chances of admission? No, quite the opposite. If you don’t have a really specific answer to “what?” and “why?” you’ll come across as someone who isn’t quite ready for graduate school. The old joke that ‘PhD’ stands for “Piled Higher and Deeper” is a reminder that doctoral studies are about becoming highly expert in a very narrow question within a very specific field. Or, as my old PhD advisor put it, “Brian, your task is to become the world’s foremost expert in the thing you’re writing about.”

Second, people are often concerned that they either don’t yet know what exactly they want to study or that they might change their mind along the way. Now, if you have no earthly clue whatsoever what you want to investigate, the short answer is that you have no business applying to graduate school. You should at least enter graduate school with some idea of what you want to study. BUT, even if you don’t, you should at least be able to articulate a plausible question that you may want to study. It’s fine if you end up changing your focus because most people don’t actually end up researching the precise areas that they intended to when they arrived. Now, obviously, you will stay close to home, intellectually speaking, so it’s not as though you’ll go from studying Medieval History to Cell Biology, but chances are that you might, for instance, go from studying how neural cell plasticity is impacted by traumatic injury to studying how neural cell plasticity might be involved in autism. It’s the same general subject, be very different questions. That’s a VERY normal thing to happen. In fact, your initial classes and (if you’re in the sciences) rotations through labs are designed to give you a broader exposure so that you can select a precise topic that interests you.

So, if most people end up changing their intended thesis, why do the admissions committees even emphasize your laying out your intended intellectual route? Two reasons: 1.) applicants who can articulate what they see as a cognizable and important question have done the requisite homework and thus demonstrated their seriousness, and 2) you are showcasing your ability to think and write about complicated questions within the field, and especially your capacity to position yourself vis-à-vis the important debates. This is very important skill in academics.

2. You HAVE to email the professors. So, technically speaking you don’t have to do this. Many people are admitted without having done so. That said, you really should do it. The reasons have mostly to do with the nature of graduate school and the nature of graduate admissions. Suppose, for instance, that you want to study Cell Biology under Prof. Jones at State University. In fact, the work she’s doing is what inspired you to study cell biology, her papers are groundbreaking, and her excellence and reputation are what State University’s Department of Cell Biology are built upon. Given this, you need to find out if it’s possible to study under her. She might, for instance, be retiring, moving to a new position at a new university, or may not be taking any more graduate students into her lab. You would thus be in a bad way if you showed up at State University to study under her, only to discover that Prof. Jones is now at Stanford! Or, she might tell you that she doesn’t think you’d be a good fit, and that if asked, she couldn’t enthusiastically support your application. This would hurt, no doubt, but it would allow you to adjust your application tactics.

This brings us to the second reasons. You should email potential advisors because, if you mention them in your personal statement, the admissions committee will usually forward your application to them and ask if they are a good fit for what they do. Them saying “yes” certainly doesn’t guarantee your admission, but either a “no” or an indifferent response will hurt you. As such, you should let that professor know who you are so that when they get that email, they can, “Oh Jennifer? She’s great, and I think she has some interesting ideas and could do great work in my lab.”

Just so we’re clear, if a professor hasn’t heard of you and the Admissions Committee asks them about you, they likely aren’t going to take a ton of time to look over your application at that point. Professors are very busy with other teaching, research, writing, committee work, etc., and they rightly don’t see it as their job to resuscitate your application because you didn’t bother to reach out to them before you name-dropped them.

So, how do you reach out to a professor? I’ll have more on this tomorrow, but the short version is that you should write a VERY short email introducing yourself, identifying what you’re working on, and asking if you could have 10 minutes of their time. Attach your CV and any relevant other documents. (Again, more on this tomorrow)

3. Copy-Paste will kill your application

We all know that applying to graduate school is hard and time-consuming. You have to study for the GRE, get letters of recommendation, write a personal statement, research and contact potential advisors, revise your writing sample, and fill out lots of other forms. BUT, one thing that will really hurt your chances is to use a personal statement that is very obviously just a single standard essay with the names of your various schools copy-pasted in. It shows that you haven’t done your research and aren’t particularly interested in that school. This doesn’t mean that you have to write completely different essays for each school. In fact, it’s usually the case that you can write your first essay for your first school and repurpose the first two-thirds for every school, and then the final third or so that focuses on your fit with the school you’re applying to can be written custom for each university. But readers know when they’re reading generic broadly-applicable text with the school’s name pasted in, and they don’t like it. So if you have a section like this, dump it and rewrite it:

I want to attend Stanford University because of its excellent faculty, abundant research resources, and the opportunity to work within a renowned university. I have looked at the Course Catalog, and there are many classes that fit my intellectual interests…

You could replace “Stanford” here with any top school, so you’re not really saying anything useful or demonstrating that you know anything about Stanford other than it’s a good university.

All three of these points make clear that a lazy applicant is probably going to be an unsuccessful one. Yes, it takes extra time to email professors, generate a plausible dissertation thesis, and write lots of unique text for all of your schools. But if you’re thinking about spending 7 years in graduate school, why wouldn’t you take an extra 10–12 hours to make sure that you are attending the right graduate school and are positioning yourself for long-term success and happiness?

DON’T GO TO GRADUATE SCHOOL!

Okay, as some who has four graduate degrees, this might seem like hypocritical advice. And, in truth, many people should go to graduate school. But my experience is that far too many people do and that folks rarely invest the requisite thought before they begin applying.

While researching for an upcoming article on graduate school completion rates, I came across this blog post from a few years back in which Christopher Pierznik reflects on his decision to drop out of graduate school. He calls it “the best decision I’ve ever made.” His wisdom and perspective resonated with me, so I thought I’d share it. Most of what I do professionally is help people get into top graduate and professional schools, but when working with clients I often get the distinct impression that many people have invested far more time into trying to get into a school than they did in figuring out if they should go in the first place.

In my old job as a university professor, students would often come to me for letters of recommendation for graduate or professional school (med, law, business, etc.). Whenever they did, I saw it as my job to try to talk them out of it. This isn’t necessarily because I didn’t want them to go -indeed, for many people it’s the right move- but because I wanted to make sure they were going for the right reasons. Going to graduate school if you’re not passionate about the material will probably lead to you dropping out, and starting medical or law school if you’re not 100% committed could mean taking on massive amounts of debt that lock you into a professional track you despise.

So, when these bright-eyed youngsters came to me seeking affirmation, I did my best to show them the hard road ahead. I’d ask them all sorts of important questions that they probably hadn’t asked themselves. For aspiring doctors, I’d talk about debt and the fact that, once you start down the path of medicine, it’s almost impossible to get off: four years of medical school, at least two years of residency (and up to 7), and maybe a decade in which you’ll have to stay within the profession to pay off your loans.

For people thinking about graduate schools, I would ask why they want to get a graduate degree. The most common response I got was, “because I like the subject.” That’s a good start, but it’s not nearly enough. First, for all kinds of graduate degrees you need to have a clear conception of how it moves you closer to your professional goals. What job do you want to get right out of graduate school? Why is that the job for you? If you don’t know the answer to that question, delay graduate school until you know.

For folks who are seeking to pursue doctoral work with the idea of entering academia, the job question is an even more pressing one, since even very high-performing newly minted PhDs from elite programs struggle to get jobs. Almost none get tenure-track positions. What’s your plan if you’re among the substantial majority of PhDs who can’t get a fulltime position? More to the point, what’s the question that you will enter graduate school wanting to answer? If you’re doing doctoral research, “I like the subject” isn’t nearly specific enough to sustain the immense effort needed to get you through the slog that Pierznik is talking about here.

As a professor, my fear was that bright students who did not know clearly and passionately what they wanted to do were just using graduate school as a fallback. In law school and in graduate school, I saw so many people who fell into this category, and in every instance they were miserable, and most did not graduate.

So, if you’re not sure about graduate school, take a year off. Travel. Get a crummy job. Try things. And, if you do go to graduate school and recognize that it isn’t for you, take Pierznik’s advice and jump ship while you still can.

On the other hand, if you’ve done your homework, gone through a rigorous process of introspection, and still feel committed to this path, then let’s get to work!

A Template for Contacting Professors at Target Schools

I have mentioned the importance of contacting potential professors at the schools to which you are applying. It’s vital that you both contact particular professors with whom you might want to work and mention them in your Personal Statement. Today I will say a bit more about what to write in your introductory email. Here are four guidelines for your email to the professors:

1. Keep it short. Aim for about 150 words. If your email is too long, it likely won’t be read. After all, when is the last time you read a long email from a complete stranger asking you for something? Get right to the point and save deeper and lengthier communications for future interactions.

2. Why them? You should say briefly why you have contacted them. Ideally, this would link their intellectual / research interests to yours. If you can point to particular articles or books that you found interesting, then do so. (if you do, and you end up meeting, you should probably familiarize yourself with that book before your meeting!) A little flattery goes a long way. The agony of being in academia is that you can spend years researching arcane topics that few people understand, so having someone tell you that they read your stuff and found it useful is really nice. Of course, don’t lay it on too thick. Nobody likes a phony.

3. Have an ask. In your email, you should state directly what you hope will happen. If you can go to their campus, then meeting up with the professor is a fair thing to ask. Again, make it painless; don’t ask to follow them all day in their lab. Instead, offer to buy them a coffee or “drop by your office for 15 minutes to talk about your research…” If you’re not going to go to the campus, then ask if there’s a time you can talk briefly on the phone. (Again, emphasize briefly, and when you do talk, keep it fairly short)

4. Attach your CV and any relevant documents, such as papers or research you’ve completed.

Here is a sample email that’s about 150 words.

Dear Prof. Joanna Jones,

My name is Sally Smith, and I am presently applying to doctoral programs in American History. As part of my research on the Haymarket Riot, I read your piece in the Journal of American History and found your thesis on the role of anti-immigration violence fascinating. In fact, it informed much of my own thinking about FBI actions in the 1960s.

I am applying to State University this fall, and I would appreciate the opportunity to speak with you about your work and my potential as a graduate student at State University. I will be in Collegetown this October and could stop by your office or we could chat over coffee. If that timing doesn’t work, I could also do a brief telephone call.

I have attached my CV and the aforementioned research on FBI actions in the 1960s. Thank you for your time.

Note that this isn’t especially fancy or long. A few additional notes:

-If, after a week, you don’t get a response, you can send a polite follow-up. After that, assume that it’s a ‘no.’

-If you do meet, be sure to send a thank-you note afterwards. Ideally, this would a short hand-written thank-you card, but it should at least be an email.

-Show up prepared with both knowledge of their subject, what you’re looking for in graduate school. As with all interviews, have several questions to ask. Even if you feel like you know what you need to, the correct response to, “do you have any questions?” is never “nope, I’m good.” Do your research and have a few substantive things to discuss either about their work or the graduate program.
